TL;DR (The short version)
We collect very little. If you message us or sign up for the Art Show, we use what you tell us to reply and run the show, and nothing else. We don’t sell your data, we don’t run adverts, and we don’t track you around the internet.
The long version
Who we are
CamCreatives CIC is a Community Interest Company registered in England and Wales, number 14328446. Our registered office is 14 High Street, Saffron Walden, Essex, England, CB10 1AY. We’re the “data controller” for the personal data described here, which is a slightly grand way of saying we decide what happens to it.
Questions about any of this can go to hello@camcreatives.com.
What we collect and why
| What | Why we need it | Legal basis | How long we keep it |
|---|---|---|---|
| Name, email address and message, when you use the contact form | To read your message and reply | Legitimate interests (replying to people who get in touch) | 24 months after our last exchange, then deleted |
| Technical data such as IP address and browser type, held in server logs | To keep the site secure and working | Legitimate interests (security and reliability) | 30 days |
| Name, email address, art forms, and optional portfolio and Instagram links, when you sign up for the Art Show | To run the show, contact you and plan the space | Legitimate interests (running a show you’ve asked to take part in) | 18 months after the show closes |
| Album choice, music tastes and anything you’d rather avoid, for Cover Versions | To pick or confirm a 1970s album for you | Legitimate interests (running the strand you’ve signed up for) | 18 months after the show closes |
| Whether you’d like to volunteer | To contact you about helping | Legitimate interests (you’ve offered to help) | 18 months after the show closes |
| Images of your work and links to films, when you submit | To choose work and, if it’s selected, show and promote it | Legitimate interests (running the show), plus the licence in the Art Show terms | Not selected: 3 months after we tell you. Selected: Kept as a show archive. |
| Bank details, if you win a prize | To pay your prize | Taking steps to pay a prize you’ve won (contract) | Deleted once paid, apart from the payment record our accounts need 6 years |
We don’t knowingly collect anything more than this. Please don’t put sensitive details (health, finances) in any of our forms, including the box about music you’d rather avoid.
Meetup.com
Joining CamCreatives meetups, RSVPing and managing your membership all happen on Meetup.com, not on this site. Meetup is a separate service with its own privacy policy, and we don’t get your data from this website. Please read Meetup’s privacy policy to see how they handle it.
The art show
Signing up for the Art Show means giving us a few more details, so here’s what happens to them.
- Signing up. We collect your name, email address and the art forms you work in, plus links to your portfolio and Instagram if you choose to add them. Cover Versions entrants also tell us how they’d like to choose an album, and which kinds of music they enjoy or would rather avoid. If you tick the volunteering box, we’ll use your details to contact you about helping. We share these details with Cambridge BID, who co-organise the show.
- Submitting work. Images, and links to any films, go to the selection panel. If your work isn’t selected, we delete them within 3 months of telling you. If it is, we keep them for the show archive and use them to promote the show, as set out in the Art Show terms, always crediting you.
- Public voting. Visitors vote on paper slips and give us no personal details.
- Prizes. If you win, we’ll announce your name. We ask for bank details only to pay the prize, and delete them once it’s paid, apart from the payment record our accounts require.
- Photos at the show. We take photos for promotion. We put up signs at the entrance and inside and, if you’d rather not appear, please tell a volunteer.
Who else sees your data
- Our website host, Krystal Hosting Ltd (company no. 07571790), stores the site and its logs.
- Our forms, run through Fluent Forms, store your entries and email them to us.
- Cambridge BID, who co-organise the Art Show and the Cambridge Arts Festival. We share Art Show sign-up and submission details with them so the show can run. They look after those details under their own privacy notice.
- The selection panel, made up of people from CamCreatives and Cambridge BID, who see entries to choose work and decide the Cover Versions prizes.
- Fonts. We host our fonts ourselves, so your browser doesn’t contact anyone else to load them.
Beyond the people above, we only share your data if the law requires it. If that ever changes, we’ll update this page first.
Your rights
Under UK data protection law you can ask us to:
- tell you what data we hold about you, and give you a copy

- delete your data
- stop using your data in certain ways.
Email hello@camcreatives.com and we’ll respond within one month. There’s no charge.
