Art Show terms and Cover Versions rules

Who these terms are for

The CamCreatives Art Show 2027 is run by CamCreatives CIC as part of Cambridge Arts Festival, delivered by Cambridge BID. By signing up or submitting work, you agree to the terms below. They’re here to protect artists and organisers alike, and to save us all a dispute later.

Taking part

  • The Art Show is open to CamCreatives members only. Joining on Meetup is free.
  • There is no fee to submit work or to have it displayed.
  • Sign up closes at 11:59pm on Monday 16 November 2026. It doesn’t commit you to anything, and it doesn’t guarantee a place.
  • Submissions close at 11:59pm on Saturday 9 January 2027. We can’t accept anything after that.
  • Space is limited, so we select work to show as wide a range of styles and mediums as we can. You can submit up to three pieces, and we’ll select at most one from each artist.
  • We’ll tell you by Saturday 16 January 2027 whether your work has been selected.
  • If selected, you deliver your work to the Grand Arcade in person on Saturday 6 February 2027 between 9am and 12 midday, and collect it on Saturday 20 February between 10am and 1pm. If you can’t make a slot, tell us as early as you can and we’ll try to arrange something.
  • Work not collected by 1pm on Saturday 20 February will be taken home by the organisers for safekeeping. We will let you know by email, and you will need to arrange to collect it at a later date.
  • Bring your own packaging, take it away on delivery, and bring it back for collection. We do not have capacity to store packaging and so any packaging left behind will be disposed of.

Your work

  • Wall work: no larger than 1 × 1 metre including any frame, and no heavier than 10 kg. Use acrylic rather than glass in framed work. Anything over 5 kg needs two D-rings and cord or wire.
  • Freestanding work: no more than 1 × 1 metre of floor or table space, and no taller than 3 metres.
  • Film and animation: no longer than 5 minutes, supplied as an MP4 via an online link when you deliver.
  • Ready to hang: wall work arrives with fixings on the back. Framing isn’t required.
  • Selling: no work can be sold at the show and no prices should be displayed. There’s a table for business cards and leaflets, one stack per person.
  • Under wraps: please keep finished pieces private until the show opens. Process shots and teasers are welcome.
  • We can turn away work that doesn’t meet these limits or can’t be displayed safely. If yours sits awkwardly against them, talk to us before you start.

Originality and copyright

  • Your work must be your own and must not infringe anyone else’s copyright. If it uses other people’s material, as collage often does, you must have the right to use it.
  • Cover Versions pieces must respond to the music. They must not reproduce, trace, copy or directly replicate existing album artwork, photography, logos or typography.
  • Your work remains your copyright and your property.
  • You give the organisers of the CamCreatives Art Show and the Cambridge Arts Festival (CamCreatives and Cambridge BID) permission to use images of your work for marketing, social media and the exhibition catalogue, always crediting you, for this and future promotion of the Art Show and the festival. No other use is permitted.

Risk and insurance

Work is displayed at your own risk. CamCreatives, Cambridge BID and the Grand Arcade don’t insure individual pieces against damage or theft. If you want cover, speak to an insurer.

At least two CamCreatives organisers or volunteers are on site whenever the show is open, and the space is locked securely overnight.

Cover Version rules

The challenge

Take a 1970s album and reinterpret its LP sleeve as a square piece, displayed at 12 × 12 inches (30 × 30 cm) and ready to hang. Any medium is welcome, as long as it has a square face and can be mounted on a wall.

Choosing a record

Pick your own, or tell us what music you like and we’ll choose a 1970s album for you.

Public vote

Visitors can vote for their favourite Cover Versions piece, one vote per person, until the end of Thursday 18 February 2027. They can only do this on visiting, via paper ballot. A panel from CamCreatives and Cambridge BID will count them.

The prizes

The overall winner (the piece with the most public votes) receives £250 and is announced at the close of the festival on Friday 19 February. The panel also picks a favourite from the “choose one for me” route, the most surprising, interesting or powerful response to a record the artist didn’t choose. That entry receives £50, announced on Saturday 13 February. Cambridge BID funds both prizes.

Fair play

  • If two or more pieces tie for the most votes, those pieces only go to a further public vote on Friday 19 February, with one vote per person visiting the art show. If they are still tied, they will share the £250 equally.
  • Panel members and organisers sit out any decision involving their own entry or someone close to them.
  • The organisers can disqualify entries that break these rules or set aside votes that look manipulated.
  • The panel’s decision is final.

Paying winners

Cambridge BID will organise payments to winners using BACS or other preferred forms of digital payment.

Photos and publicity

  • We’ll photograph the show for promotion.
  • If you win a prize, we’ll announce your name.
  • There will be printed notices regarding photography at multiple points around the venue, including outside the entrance.
  • If you do not wish to be in photos please let us know.
  • We will remove any photos online that contain your image, or the image of your child, at your request.

If something changes

If dates, venue or details change, we’ll email those taking part as early as we can. If a change means you can no longer take part, you can withdraw your work without penalty.
